2. The information we collect
We collect personal information in the following ways.
- When you enquire about private hire or events (weddings, private events, corporate events, celebrations of life, Christmas bookings): your name, email address, phone number, company name where relevant, and the details of your enquiry such as preferred date, space and guest numbers.
- When you book a table: your name, contact details, party size, date and time, and any dietary requirements, allergies or special requests you choose to share.
- When you book a hotel room: your name, contact details, stay dates, guest details and preferences, and payment details.
- When you apply for or hold a membership: your name, contact details, date of birth where required, payment details, and your use of member facilities and benefits.
- When you pay in the venue or online: payment card transactions are processed by our payment providers. We do not store your full card details ourselves.
- When you sign up to hear from us: your name, email address and your marketing preferences.
- When you use our website: technical information such as IP address, browser type, device and operating system, referral source, pages visited and links clicked, collected through cookies and similar technologies (see the Cookies section below).
3. How we use your information
We use your information to:
- respond to your enquiries and manage your bookings and events
- run your membership, including payments, renewals and member benefits
- take payment for food, drink, tickets and event hire
- send you marketing about news, events and offers where you have opted in
- improve our website, menus and services by understanding how they are used
- meet our legal obligations, including licensing, health and safety, and accounting

The legal bases we rely on are: performance of a contract (bookings, events, memberships and purchases), consent (marketing and non-essential cookies), legitimate interests (running and improving our venue and website, and communicating with event organisers), and legal obligation.
4. Who we share your information with
We use trusted service providers to run our business. They process your information on our behalf and only on our instructions. These include:
- our event enquiry and event management platforms (Tripleseat and DesignMyNight)
- our table reservation platform (SevenRooms)
- our hotel booking and property management platform (Mews)
- our membership platform (Peoplevine)
- our point of sale and ordering providers (Lightspeed and Storekit)
- our email marketing platform (Mailchimp)
- our website hosting and IT providers
We may also share information with professional advisers, with public authorities where the law requires it, and with a buyer or successor if our business is sold or transferred.
We do not sell your personal information.
Some of our providers are based outside the UK. Where information is transferred outside the UK, we make sure appropriate safeguards are in place, such as UK adequacy regulations or standard contractual clauses.
5. How long we keep your information
We keep your information only as long as we need it: booking and event records for as long as needed to run the booking and deal with any follow-up; membership records for the life of your membership and a reasonable period afterwards; accounting records for the periods required by law (normally six years); and marketing details until you unsubscribe or we learn they are no longer current.
6. How we protect your information
We use appropriate technical and organisational measures to protect your information, including encrypted connections (SSL/TLS) on our website and access controls on our systems. Payments are handled by PCI DSS compliant providers. No method of transmission or storage is completely secure, but we work to protect your information in line with good industry practice.

Our website uses cookies and similar technologies. Essential cookies make the site work, and other cookies help us understand how the site is used so we can improve it. When you first visit the site you can choose which non-essential cookies to accept, and you can change your choice at any time through the cookie settings on the site or your browser settings. We will only send you marketing emails if you have opted in, or if you are an existing customer and we are telling you about similar products and services, in which case you can opt out at any time. Every marketing email includes an unsubscribe link, or you can contact us using the details above.

- ask us to correct information that is inaccurate or incomplete
- ask us to delete your information in certain circumstances
